This policy explains in plain English how Housing Disrepair Ealing uses your personal information under UK GDPR and the Data Protection Act 2018. It should be read together with the website's other pages, such as how we can help and how a claim works, and it does not replace advice from Citizens Advice, Shelter or a solicitor. The policy was last updated 31 October 2026.

Who we are

Housing Disrepair Ealing is a website that gives general information about housing disrepair to tenants in the London Borough of Ealing and runs an enquiry service. In this policy, "we" means Housing Disrepair Ealing and the operator of this website, which decides how and why your personal information is used. That makes us the "controller" under UK GDPR.

You can contact us about your data by email at hello@housingdisrepairealing.co.uk or by phone on 0330 223 8677.

What information we collect

Enquiries

When you use our enquiry form we collect your full name, phone number, email address, home address and postcode, preferred contact method, the service you are interested in, and your message. Your message may include details about your landlord or your health. Please share only what you are comfortable with.

Testimonials

If you submit a testimonial, we collect the details you enter in the form, such as your name, general area and comments. We publish a testimonial only if you have agreed to it.

Website statistics

We keep simple visitor statistics without tracking cookies. These record your IP address, the page you viewed, the page you came from (the referrer) and your browser.

Server logs

Our web server automatically records technical details of each request, such as your IP address, the time, the page requested and your browser. We use them for security and to fix faults.

Why we use your information

UK GDPR says we must have a lawful reason, called a legal basis, for each use of your information.

Health information is more sensitive and is called special category data. We use it only because you have chosen to include it, which is your explicit consent. You can withdraw consent at any time, and that does not affect what we did before.

Who we share it with

  • The site operator, who handles enquiries made through this website.
  • Any legal or adviser partner we introduce you to. We will tell you first, and we will not make the introduction without your knowledge.
  • Email and hosting providers that process data for us under contract and only on our instructions.
  • Courts, regulators or the police, if the law requires it.

We do not share your information with advertisers. If a provider handles data outside the UK, we make sure appropriate safeguards are in place.

How long we keep it

  • Enquiries: 24 months after our last contact with you, unless a claim or complaint is ongoing. In that case we keep them as long as needed to deal with it.
  • Testimonials: while they are published, until you ask us to remove them.
  • Statistics, including IP addresses: 90 days.
  • Server logs: a short period, no longer than 90 days.

After that we delete or anonymise the information.

How we keep it secure

We use reasonable technical and organisational measures, such as encrypted (HTTPS) connections, restricted access to enquiry data and secure hosting. No method of sending information online is completely secure, so please do not put card numbers, bank details or passwords in your message.

Your rights

You have the right to:

  • ask for a copy of your information (access);
  • have wrong or incomplete information corrected (rectification);
  • ask us to delete it (erasure);
  • ask us to limit how we use it (restriction);
  • object to uses based on legitimate interests;
  • receive your information in a portable format, where it applies (portability);
  • withdraw your consent at any time.

To use any of these rights, email us or use our contact page. We usually reply within one month and may ask you to confirm who you are. You can use the same law to request records from your landlord, as explained in our guide to gathering evidence.

Complaining to the ICO

We would like the chance to put things right first, but you can complain at any time to the Information Commissioner's Office (ICO), the UK data protection regulator, through its complaints page.

Cookies

The public pages of this website do not set cookies. A cookie is used only when our own staff sign in to the admin area. We do not use advertising or analytics cookies, and we do not track you across other sites. Our forms are protected from spam by a signed code in the page and a hidden check that runs in your browser, which does not store anything on your device.

Maps and other websites

Some pages offer a map of Ealing from OpenStreetMap. The map loads only if you press the button to show it. When you do, OpenStreetMap receives your IP address and browser details, in the same way as if you had visited their website, and handles them under its own privacy policy. If you do not press the button, nothing is sent, and you can always look Ealing up on any mapping service you prefer. Links to other websites, such as GOV.UK or the Ombudsman, take you to sites we do not control, and their privacy policies apply once you are there.

Changes to this policy

We may update this policy from time to time. The latest version will always be on this page, and it was last updated 31 October 2026.
